Position Summary
We are seeking an experienced, detail-oriented Paralegal to join our medical malpractice law office. This is a full-cycle role responsible for managing cases from initial client intake through resolution. The ideal candidate brings hands-on litigation support experience, strong organizational skills, and the ability to manage multiple priorities independently. You will work directly with attorneys on all aspects of case preparation, client communication, court filings, and day-to-day office operations.Monday - Friday 9am - 5pm

Position Summary
Key Responsibilities
Client Intake & Case Management- Assist attorneys with all stages of medical malpractice litigation, including case intake, discovery, and trial prep
- Gather and organize client medical records, insurance information, and relevant documents
- Communicate regularly with clients regarding case status, deadlines, and next steps
- Maintain case files and track deadlines in litigation calendars
- Organize and summarize medical records, depositions, and expert reports
- Draft pleadings, discovery requests/responses, subpoenas, and motions
- Coordinate expert witnesses and manage document production
- Draft, proofread, and finalize legal documents including motions, pleadings, discovery requests, and demand letters
- Prepare subrogation claims and correspondence with insurance carriers and third-party payors
- Organize and summarize medical records and create detailed medical chronologies
- File documents electronically with state and federal courts in compliance with applicable court rules
- Assist with deposition preparation, including coordinating notices and organizing exhibits
- Maintain and manage attorney calendars, including court dates, client appointments, and filing deadlines
- Track and manage all case-specific deadlines including statutes of limitations, discovery cutoffs, and hearing dates
- Send timely reminders to attorneys and clients regarding upcoming deadlines and appointments
- Process invoices and pay office bills using accounting software
- Assist with timekeeping, expense tracking, and billing coordination
- Manage incoming and outgoing correspondence via email, fax, certified mail, and courier
- Maintain organized electronic and physical filing systems
- Perform general office duties including photocopying, scanning, and document management
- Use Microsoft Outlook to manage attorney and firm communications, scheduling, and email workflows
- Create and maintain spreadsheets using Microsoft Excel for case tracking, billing logs, and data management
- Scan, digitize, and organize documents using Adobe Acrobat and Scan Snap
- Upload and manage documents in the firm's case management or document management system
Qualifications
Required- Minimum 2–3 years of paralegal or legal assistant experience, preferably in medical malpractice, personal injury, or civil litigation
- Strong working knowledge of legal procedures, court filing requirements, and litigation timelines
- Experience with client intake processes and case lifecycle management from open to close
- Proficiency in Microsoft Outlook, Excel, and Adobe Acrobat
- Experience with document scanning equipment (Scan Snap or similar)
- Ability to draft and proofread legal documents with high accuracy
- Excellent written and verbal communication skills
- Strong organizational and time management skills with ability to manage multiple active cases simultaneously
- Ability to maintain confidentiality and handle sensitive medical and legal information with professionalism
- Associate's degree or certificate in Paralegal Studies, or a Bachelor's degree in a related field
- Familiarity with subrogation processes and insurance lien resolution
- Experience with legal billing and accounting software
- Knowledge of medical terminology and ability to interpret and summarize medical records
- Experience with e-filing in state and/or federal court systems
- Familiarity with legal case management platforms
